Clarify the destination and handover
State the delivery destination or agreed collection point, receiving contact and requested shipping or collection arrangement. Identify who is expected to arrange transport and any named delivery term/place required for review. Final responsibilities and charges must be written into the accepted order.
List documents before order confirmation
Provide the requested commercial, packing and product-document list with required fields, language, issuer and review deadlines. If a particular origin, inspection or destination document is required, identify it explicitly. Availability and issue arrangements need confirmation; do not assume every certificate accompanies every shipment.
Align goods, labels and records
Keep product references, quantities, units and agreed lot/package identifiers aligned across the order, labels and required records. Provide the approved consignee and shipping details securely during order coordination. Packing photos used for review should show the actual order, not illustrative website images.
Agree the dispatch review
Specify who reviews the packing list, labels, required reports and any actual-order photos, and what must be accepted before release. Requested dispatch dates, transport booking and tracking arrangements depend on the confirmed order and shipping plan. Record changes and unresolved items before handover.
