What to send for quotation
Use this checklist to organize the information you already have. It is not a drawing standard or a guarantee that a manufacturing process is available. Clearly distinguish approved requirements, reference information and unresolved questions.
1. Identify the authoritative files
List drawing numbers and revisions, the associated parts list and referenced specifications. Identify which document governs if a model, sketch and drawing differ. Keep units visible and mark reference-only files so they are not treated as approved production instructions.
2. Define geometry and thread
Provide drawing-defined dimensions and tolerances, thread system, pitch, fit, direction and threaded length. Include relevant end, head, shoulder, radius or hole features. Mark assembly-critical interfaces; do not assign tolerances from an appearance image.
3. State material and finished condition
Include material designation, mechanical or hardness requirements where specified, heat-treatment requirements if applicable and coating/finish. Indicate requirements that apply after finishing. Do not substitute a trade name for the exact approved designation.
4. Attach acceptance and order inputs
State inspection criteria, required documents, lot identification, sample-review needs and packaging. List quantity by drawing and revision, destination and requested delivery terms. Keep requested timing separate from a confirmed quotation commitment.
5. Record questions and exceptions
List missing dimensions, unclear notes and proposed alternatives. Ask for quotation exceptions to be itemized and reviewed. Where confidentiality arrangements are needed, agree them before sending sensitive details; do not assume a website upload creates an NDA.
